Data Reconciliation

How Do We Do It?

      The reconciliation of the ‘old’ register to the ‘new’ database is time based. The actual time taken to reconcile will depend on the accuracy and type of information provided in the old register. AIMS Consultants will perform the reconciliation between the Old Asset Register and assets recorded during the Fixed asset inventory Project. An Excel spreadsheet detailing all assets created during the fixed asset inventory will be exported from the fixed asset database. This spreadsheet should contain the following fields: Asset Number, Barcode, Asset Name, Asset Type, Asset Condition, Estimation of Asset Useful Life, Serial number, Location, Cost Centre, and Person Details Assets can be matched by Serial Number and then by Location, by Asset Name or Product. (The order of matching criteria should be clearly determined prior to commencement of the reconciliation.) It is suggested that a new column for the Asset Number is created in the existing Asset Register and when records are matched, the Asset number is recorded, this way any additional information from the existing asset register can also be created in the fixed asset database.
